Facilities and Safety Co-Ordinator- Fixed Term contract to 31st March 2023 

(potential to be extended)

Teamwork Trust is a North Northamptonshire charity and social enterprise which works with and supports autistic adults, people with learning disabilities and individuals with mental health needs.

Our three centres – based in Corby, Kettering and Wellingborough – are friendly, safe and supportive places in which our service users make new friends, access education and employment experiences, and take part in on and off-site activities and classes.

We have a packed programme of living and learning projects & activities as well as wellbeing and counselling programmes and it is our service users who help to steer and plan everything we do.

About the Role 

  • Facilities and Safety Co-Ordinator- Fixed Term contract to 31st March 2023. Potential to be extended. 
  • £13765 (FTE £25809)    
  • Part Time - 20 hrs per week. Monday-Friday. Based on-site across all 3 sites (Kettering, Corby and Wellingborough)

Job Purpose 

To ensure that the centres and facilities are safe, maintained to meet the legal requirements for delivering current and supporting future services of the organisation. 

It is important that the post holder can work independently at all Teamwork Trust sites.

The job holder will ensure that records are accurate and up to date and meet legal requirements for audits and inspections. 

A requirement to analyse maintenance/service contracts to be of the correct quality and delivering value for money for the organisation

Overview

The main purpose of the role is: 

  • To liaise with service users, staff and external contractors at all Teamwork sites and take responsibility for the maintenance and safety of Teamwork Trust sites/centres and to include the organisations environmental impact and sustainability.
  • Responsible that all Teamwork sites are inspected weekly by the job holder for site safety, that cleaning and infection control measures are of excellent standards at all Teamwork locations (Including planned Teamwork activities).
  • Health and Safety documentation is up to date and adhered to, checking that all functions documentation for safety and facilities is up to date to meet legal requirements and auditing processes.
  • The job holder is responsible for design and updating of an annual maintenance plan to include, safety inspections, infection control, COVID safety protocol, utilities, cleaning, fire safety and risk assessments. 

Key Responsibilities: 

  • Ensure the service users voice is included at all stages.
  • To ensure that the centres and grounds are in a good state of repair and appearance.  Health and Safety, security and cleanliness of the centres are maintained.
  • To ensure legal compliance of all Health and Safety policies at all sites and develop a maintenance schedule for each centre, what to do instructions/guides if there is a fault etc. 
  • To develop a list of trusted contractors and be the primary point of call for all contractors.
  • Keep all space utilisation/floor plans for the organisation up to date and compliant (support fire evacuation plans/instructions/compliance).
  • Ensure that all fire safety risk assessments, alarm tests, evacuation and safety equipment is inspected and reviewed according to legal requirements.
  • All alarms are inspected tested and maintained regularly.
  • All outbuilding and letting contracts are compliant and up to date.

Main Responsibilities:

  • To ensure all regular checks on alarms, fire alarms, emergency lighting, fire extinguishers are carried out by staff and external contractors.
  • Support safety audit details at each centre, audit of fire drills at each centre.
  • To have a schedule of maintenance for each centre and arrange for contractors to carry out the work. (Cleaning, alarms, hygiene product supplies, infection control, PAT testing etc.) 
  • To ensure pest control is adequate at each site, arrange oven cleaning for each centre, plan a 3-year maintenance/upgrade for each centre in consultation with SMT and centre staff.
  • Check waste disposal at each centre, organise skips as required, check cleaning contractors work at each centre on a regular basis. 
  • Ensure centres are maintaining their COSHH assessments, regular inspections of each centre identifying and checking for hazards and reporting to SMT. Arrange annual PAT test process. 

  • Responsible for centres maintenance budgets.
  • To identify potential cost savings from energy conservation and control, waste reduction etc. 
  • Ensure the H&S Policy is being followed and implemented across all three Teamwork Trust sites
  • Assess and manage the risks of the organisation and complete risk assessments where appropriate 
  • Ensure there are arrangements in place for first aid, accidents and ill health
  • Implement procedural improvements to ensure there are appropriate measures in place in connection to health, safety and wellbeing
  • Work with the HR team to provide H&S training and guidance to colleagues and service users, ensuring there is adequate trained personnel across all three Teamwork Trust sites
  • Work with the SMT and Board of Trustees to ensure that the right workplace facilities are in place – welfare, health and safety
  • Ensure there are arrangements in place for first aid, accidents and ill health

Requirements for the role:

Essential:

  • Experience in a Facilities and Safety
  • Motivated and self-starter, working on your own initiative
  • Skilled at multi-tasking and effective at managing own time
  • To demonstrate a high level of literacy, IT skills – Excel, Word, Outlook
  • Reliable and trustworthy
  • Able to work as part of a team
  • Be able to engage with all levels of business
  • Driver with own vehicle

Desirable: 

  • Health & Safety Qualification or working towards

Holds a current enhanced DBS
